Scope brief: twelve questions about your project
These twelve questions help me understand your problem and shape a small first step. Answer what you can in a line or two and skip the rest. “Not sure” is a useful answer. Please leave out client data and passwords.

What workflow or decision costs you time?
Describe it in plain words, for example “orders arrive on WhatsApp and I retype them”.
Who does it today, and how often?
Name the role rather than the person. Say how often it happens: daily, weekly or at month end.
Which systems and files are involved?
Tools, spreadsheets, an ERP, WhatsApp, a database, paper. A rough list is enough.
What data exists, and where does it live?
Roughly what is recorded, who keeps it and how tidy it is. Please do not attach real client data.
What does success look like, and how would you measure it?
A change you could see or count: time saved, mistakes avoided, a decision made sooner.
Who decides?
Who says yes or no, and who else has to agree.
What must not change?
Steps, tools, habits or promises to customers that have to stay as they are.
Are there security or privacy constraints?
Who may see which data, where it may be stored, and any rules you work under.
What is the timing?
A date that matters and what is driving it. “No hurry” is a fine answer.
What budget range do you have in mind?
A rough range is enough, and “not sure” is fine. It helps me suggest a first step that fits.
Who will look after it afterwards?
Your team, someone outside, or not decided yet.
What has been tried already?
Tools, suppliers and workarounds, and what went wrong with them.
